How It Works

How to Capture Your In-Person Sessions with CoachNova

Not every coaching session happens on a screen. Some of your best work happens across a table, in a quiet corner of an office, on a walk, or in a room where the only technology present is a cup of coffee going cold.

For a long time, those sessions were the ones that slipped through the cracks. The video calls got recorded and summarised. The in-person conversations left you scribbling notes from memory on the train home.

CoachNova is built so that your in-person work gets the same care as everything else. Here are the two simplest ways to capture a session that happens in the room with you.

Option 1: Invite Nova to a call and let her listen in

This is the one most coaches reach for, because it needs nothing more than the phone or laptop already in your bag.

    1. Open CoachNova and start a call the way you normally would for a remote session.
    2. Invite Nova to join the call as a participant.
    3. Place your phone or laptop on the table between you and your client, and put it on loudspeaker.
    4. Coach exactly as you always do.

That is it. Nova listens to the room, captures the conversation, and has your session notes ready within minutes of you finishing. You walk out of the room present and unhurried, and the write up is waiting for you.

A few small things that make this work even better:

    • Pick a spot for your device that sits roughly between the two of you, not pushed off to one side.
    • A quieter room gives a cleaner capture, so a closed office beats a busy cafe when you have the choice.
    • Let your client know Nova is listening and why. A simple, honest sentence at the start sets the tone, and most clients appreciate that you take the record of their growth seriously.

Option 2: Bring your own notetaker and upload the transcript

Some coaches already work with a physical notetaker or a separate recording device they trust. If that is you, there is no need to change your habits.

    1. Run your session and let your existing notetaker do its job.
    2. When you are finished, export the transcript from that device or app as a text based file (for example .txt, .docx, or a PDF you can copy text from).
    3. Open CoachNova and upload the transcript.

CoachNova takes it from there. The same session notes, the same insights, the same patterns surfaced across conversations, all from a transcript you captured your own way.

This option is also handy for sessions that already happened. If you have a transcript sitting in a folder from last week, you can upload it today and bring it into your client's history.

    Why this matters

The point of all of this is not the recording. It is what the recording frees you to do.

When you are not holding the entire session in your head so you can reconstruct it later, you can give your client your full attention in the moment. You can notice the small shift in their energy. You can follow the thread that matters instead of the one you wrote down. You can be fully there.

That is the part of coaching that no tool can do for you. CoachNova handles the capture and the write up so that you can spend your attention where it actually changes someone's career or life.

Whether your next session is on a screen or across a table, you can have it captured, summarised, and woven into your client's story without lifting a pen.
