All of it. Every conversation your client has with their AI is yours to read, the same way your session notes are, and your client knows that from the start. It is part of the coaching agreement, not a hidden setting.
Messages you send. Your AI prepares the reply, you read it, you edit or approve it, and only then does it go. Nothing leaves in your voice without you.
Your client's own AI. You train it, role-play against it and approve it for that client before it opens. Once it is open, its replies reach your client in real time, so you read them afterwards rather than before. Guardrails keep it inside coaching, and anything that goes near the edge comes to you as an update. You can pause it at any moment.
You will rarely need to read every message. The themes carry most weeks, and anything urgent reaches you the moment it happens. But nothing is out of your sight, which is what lets you catch an answer that does not sound like you, and what makes the space safe to offer at all.
Nothing opens to a client until you have tested it yourself. You role-play as that client, ask it what they would ask, and check the answers sound like you. You can fine-tune it as much as you want, and it opens only when you sign it off. We test the system before it reaches you, and you are still the only one who knows what your coaching sounds like. AI can get things wrong, and your client can message you directly whenever an answer is not helping them.
Once it is open you are not in the dark. You read every conversation, in one queue, and there are two ways your client can use it. They can work with the AI directly, in the moment. Or they can send you a message, which is not immediate, but answering it is a review rather than a writing job: CoachNova prepares the reply, you check it and adjust anything you want, and it only reaches your client once you approve it.
Guardrails are the limits we set on what a coaching tool should handle on its own. Distress, a subject that belongs with a mental health professional, a client who needs you rather than a reflection prompt: none of that is handled quietly. The AI points them back to you and you get a notification, so you can follow up with your client yourself. You can also pause any client's AI immediately and step back in.
Your AI can still answer in a way you would not. In a live session. Nothing is recorded until your client has given consent, and consent can be withdrawn at any time. Recording is per session, so any single session can be left off the record.
In your messaging. Your AI drafts the reply, you review and adjust it, and nothing reaches your client until you send it. What arrives comes from you.
In the AI you open to them. Every message it sends is marked as AI generated. You do not review that conversation before your client sees it, which is the point of it being there at eleven at night. You review the messages you send and the notes you share; the live conversation is theirs. It stays inside coaching, and what it holds is private to you and that client. AI can get things wrong. Your client can always message you via their CoachNova app as an alternative.
To explain this to your client, we have written three scripts. Copy them and make them your own on the page about protecting your practice. If your client would rather read it first hand, send them the client page, which names every place the AI appears and what stays private.
What you own. Everything that goes in and everything that comes out. Your sessions, transcripts, notes and uploads, and what your client writes to their AI, together with everything the AI generates from them, are Coach Content and they are yours. We own the software that runs on it. Your material is not used to build an AI for anyone else.
What you can take. All of it. Export at any time, and for ninety days after you leave, and we delete it on your word. The running AI is software and stays with us. Everything it worked from is yours and leaves with you.
Your clients

The AI speaks from your coaching, and it knows the work. So when something surfaces at eleven at night, your client thinks it through with something that already has the context, instead of starting again with a chatbot that has none of it. That is the difference between an insight that reaches your next session and one that does not.
The conversations sit with your session notes, and you can see all of them. Your client knows that from day one, which keeps the space honest. What they work through feeds your session prep, and safety flagging runs on every conversation, so anything that points to harm reaches you immediately.

Most of what you get does not depend on them. The notes, the prep, the themes across the engagement and your own AI all run off the session itself, whether or not your client ever opens the app.
What changes is the work between and beyond sessions. When a client stays quiet, the usual reason is that nothing has been asked of them. Share a note, name a commitment, send one message in the first week. The first week is where it sticks or does not.
If they would rather keep it to the sessions, pause their seat. It costs nothing, and the coaching carries on as it always did.
Say it when you contract, not part way through, and lead with what it adds rather than with the technology. The short version is that our work does not stop when the session ends, and it carries on in three ways: your sessions, your messages in between, and a private AI built from the way you coach. Name that third one plainly. It is AI, it is not you, and you supervise it.
Name what it gives them, not just the channels. Every session written up. The themes that run across the whole engagement rather than a single hour, which is where a client starts to see their own patterns. Where their goals have moved. And what came up between sessions, not only in them.
Then answer the question underneath it. Nothing is recorded without their agreement, consent is per session, no audio is stored, their data sits on servers in Europe, and they can ask you to access, export or erase it at any time, which you action.
To explain this to your client, we have written three scripts you can copy and make your own: how it works from a privacy perspective, what it adds to your coaching relationship, and one for a sponsor or compliance review. Copy a script from the page about protecting your practice. Some clients would rather read it for themselves, and the client page is written for exactly that.
Then they do not have it. Their AI is something you switch on client by client, and it stays off until you do. The sessions, your notes, the messaging and the app all work the same without it.
You can open it later if they change their mind, and pause it at any point after that. Being able to decline is part of the standards you already work to, so nothing here should make that conversation awkward.
Your client agrees to recording before the first session, and can ask you to stop it at any point during a session. When a session is not recorded, you add your own notes by voice or by text and the work carries on from there. CoachNova is at its best when most sessions are recorded, because that is what the support between and beyond sessions learns from.
Withdrawing consent stops any further recording from that point. Audio is not stored at all. It goes as soon as the session is transcribed. If your client wants what has already been captured removed, they ask you and you action it. The coaching record is yours to hold, so the decision sits with you as controller. What that means in practice, and who answers a deletion request, is set out in who is responsible for the data.
Yes, once you have approved them. CoachNova prepares the session notes and nothing reaches your client until you have read them and decided to share, note by note.
Sharing is worth it. Your client sees the commitments they made, the themes that showed up across the session, and a summary to come back to. That is what keeps the work alive between and beyond sessions, and it means the reflection starts from what actually happened rather than from what they remember.

Pause them. Billing stops for that seat, everything stays intact, and you pick up where you left off when they come back.
Or carry on with their AI, available from autumn 2026. Your client keeps their private AI, the themes and the commitments you built together, and keeps working on them. Privacy and data
9 questionsOn EU servers, in Frankfurt, with EU residency by default on every plan and no upgrade required. It is the strictest standard we can give you, and you get it wherever you practise.
Some processing runs through providers outside the EU, and the AI models are among them. Your sessions are not used to train those models. We do not do it, and we do not authorise anyone we work with to do it. That is what we have agreed with the providers we use, and our data processing agreement sets out how we process personal data. Those transfers are covered by Standard Contractual Clauses and the EU-US Data Privacy Framework, and every provider is named on the sub processor list with what it does and on what terms.
Audio is not stored. The session is transcribed and the recording is deleted straight after. The transcript and the notes built from it are stored encrypted in the EU for as long as you are working with that client, which can run past your last session together if they continue with their AI. Nothing is kept because we want it. It is kept because that history is what makes your AI sound like your work, and not like a general chatbot.
Delete a client’s data in a few clicks whenever you choose. If your client asks you to erase it, that is their right under Article 17, and the same few clicks answer it. The request comes to you rather than to us, because the coaching record is yours to hold. When a client finishes, we email you their full archive to download, and after 90 days you can delete it from CoachNova. Once it is deleted the only copy left is yours. If you leave, you export everything first and then it goes.
No. We do not train on your sessions, and we do not authorise any provider we use to do it either. Your sessions are stored for your practice and looked up when your AI needs them, not absorbed into a model. That is the difference between an AI that works from your sessions and a model trained on everyone: your material is retrieved at the moment of use, and nothing about you is baked into anything shared.
That is what we have agreed with the providers we use. Our data processing agreement sets out how we process personal data, and every provider we use is named on the sub processor list with what it does and on what terms.
Nothing pools across coaches either. No other coach's practice touches yours. What accumulates is yours alone.
No. Sessions are encrypted in transit and at rest, and no one here opens them to look around.
The only time a person at CoachNova sees your session is when you ask us for help with it. Then access is limited to what that request needs, for as long as the fix takes, and every access is logged. Ask us for that log and we will show you who opened what, and when.
If there is a data breach, we notify you without undue delay, as set out in your data processing agreement.
Yes, and you do not have to take our word for it. The data processing agreement is part of the terms you accept at signup, so it is already in place. The sub processor list names every provider and what it may do with your sessions. You can share both with your client's procurement team if they ask for them.
We meet SOC 2 Type II standards. We are not certified. When that changes, this answer changes with it.
Cancel in your account settings. It takes effect at the end of the month you are already in, no cancellation fee, and nothing renews.
You export everything: session notes, briefs, client records. The window stays open for 90 days, and then deleting is yours to do. Nothing goes unless you ask, and once you have asked, the only copy left is yours.
If you are stepping back rather than leaving, pause instead. Paused clients cost nothing, everything stays intact, and you pick up where you left off.
One thing to plan for: your AI and your clients' app run while your account does. What you built is exportable, the AI itself is not, so give your clients notice if you are closing the account.
You are, for your clients' data. That is not a new obligation. You have held your clients' notes, contact details and confidences since long before CoachNova existed, which made you the controller then too. The data processing agreement writes down what was already true. The decisions are yours, and CoachNova acts on them as your processor.
In practice it is smaller than it sounds. A client asks to see their data or to have it erased, you do it in the product in a few clicks, and it is done. The law gives you a month to answer. Your client brings the request to you, and you decide and action it. If a request needs more than the buttons allow, ask us and we will help you answer it. Our own side is ours to look after, your account, billing and keeping the service secure.
Some of what comes up in a session is personal. That is coaching, and the product is built so that you decide what leaves the room.
Audio is never stored. If you do not want something in the transcript, or in what your AI knows about that client, turn recording off for the whole session or for part of one and there is nothing to keep. Anything already captured you delete in a few clicks, and it goes from what your AI and your client's AI draw on. Session notes reach your client only when you share them, note by note. Their own conversations with their AI stay theirs, with anything concerning flagged to you, and you can pause their AI at any moment.
Your client agrees to the session record before the first recorded session, so consent is in place before anything is captured. For someone you coached in the past, they are asked in the same way before anything of theirs is processed. What belongs in that record is a coaching judgement. It stays yours, and the controls above are there to make it an easy one. If your client’s employer asks the formal version of this question, it is in the data processing agreement.
Yes. The data processing agreement, the sub processor list, session agreement templates, our security documentation, EU residency by default in Frankfurt, and an Irish company on the paperwork. If their legal team wants the data processing agreement signed on paper rather than accepted online, we will sign ours on paper. If they send a security questionnaire, send it to us.
We also do not report to the employer. No progress updates, no attendance, no usage data, and no access for whoever is paying. Anything they receive comes from you.
Price and billing
9 questions€19 per active client, per month. Everything is included: the note taker, notes and prep, themes and goals, client messaging, the client app, your AI, and onboarding. Plus VAT or sales tax where it applies.
A full year of one client costs about what you charge for a single session. See what you earn.
A client whose seat you are keeping open that month, whether or not you had a session with them. Pause anyone between engagements and that seat costs nothing until you bring them back. A client who keeps their AI after the coaching has finished still counts, because it is still there for them.
Yes. No tiers, no modules, no upgrade calls. We never bill your client for anything, and we take no share of what they pay you. You set your prices and you keep them whole.
Your whole practice, every feature, every client, free for 60 days. We take a card at signup and charge nothing until day 61, with reminders at day 45 and again a week before. Cancel before then and you are not charged at all.
The 60 days is one window, not 60 days per client. Every client you add during it is free for whatever is left of it, so a client you add on day 22 is free for the 38 days that remain.
Whatever is still active, at €19 each, excl. VAT. Twelve active clients is €228, and that is the same bill every month after.
Nothing about it should arrive as a surprise. You get an email at day 45 and again a week before, and your account shows what the next charge will be. If some of those clients have finished, pause them before day 61 and they cost nothing.
Cancel before day 61 and you are not charged at all.
Yes. Monthly, no contract, no cancellation fee. You keep access to the end of the month you have already paid for, nothing is charged after that, and your data leaves with you.
Whatever you decide. We never bill your client and we take no share of what you charge. Build the €19, excl. VAT, into your fee or carry it as a cost of the practice, whichever suits how you price.
Yes. Twenty active clients is €380 a month, excl. VAT, and the price is the same for your first client and your fortieth. No volume discounts, and no volume surcharges.
If some of those twenty are between engagements, pause them. A paused seat costs nothing until you bring the client back, so you pay for the clients you are actually working with. See what you earn.
€19, excl. VAT, is the price, and the pricing page shows you the equivalent in pounds and dollars. What your bank adds on top depends on your card, so the euro figure is the one to plan with.
Getting started
9 questionsStart your 60 days free and add your first client. Setup takes 15 to 30 minutes and there is nothing for your client to install.
Before the first recorded session your client is asked to agree to the session being recorded. That happens in the product, so it is in place before anything is captured, and they can withdraw it at any time.
We take a card at signup and charge nothing for 60 days. On day 61 you pay €19 for each client still active, and nothing for anyone you have paused.
After your first session you get session notes and a prep brief. Those arrive from session one.
Your AI takes longer, because it is learning how you work. Most coaches say it starts sounding like them somewhere around the fifth session.
Opening a client's own AI is a separate step, and it is yours to take. Three sessions with that client is the earliest it can happen. Before it does, you test it against that particular client, you tell them in your own words that it is AI and not you, and you satisfy yourself that they are over 18 and not in crisis.
Zoom, Microsoft Teams and Google Meet. You connect yours during setup, and from then on CoachNova joins the sessions you schedule as coaching sessions, not everything in your calendar. Your client installs nothing.
Start the session in CoachNova, put your phone or laptop on the table between you, and coach as you normally do. Notes, themes and prep come back exactly as they do for a video session.
Tell your client the session is being recorded before you start it, the same as you would on video. In a room there is no joining bot to make it obvious, so saying it out loud is the version that works. Recording law varies by country and by state, and where you practise sets the rule.
On a walk, a small recorder is easier than a phone in your hand. Some coaches pair CoachNova with a wearable recorder such as Plaud: it records the walk, you upload the audio or the transcript afterwards, and everything else is the same. We do not supply or support those devices, so the one you choose is your call. A voice memo of what came up while it is still fresh works too, and feeds your next prep brief. If you already use a recorder or note taker you trust, keep it.
How to capture your in person sessions walks through both setups, including where to put the device and what to say to your client.
Yes. The video platforms are a convenience, not the product. Everything that matters runs off the session itself: the notes, the themes across an engagement, the prep for next time, your AI, and the app your client works in between and beyond sessions. A room and a phone on the table gets you all of it.
In person practices often gain the most, because those are the sessions that used to be reconstructed from memory afterwards. If a session cannot be recorded at all, add what came up by voice or by text and the work carries on from there.
Yes, and uploads are included in every seat. Past sessions give your AI real context from day one, which is also how coaches bring past clients back rather than starting from nothing.
One thing to do first. A past client agreed to be recorded by whatever you were using then, not by CoachNova. Ask them before you upload, the same way you would ask a new client, and you are on solid ground. If you would rather not ask, upload your own notes instead of the transcript.
Yes. The language of the session is detected automatically across around 30 languages, and your notes come back in the language the session was held in.
Most coaches do, and it is a sensible first move. Run a session with a peer, look at the notes and the prep brief, and see whether it sounds like you before anyone real is in the room. Your colleague agrees to the recording the same way a client would, because it is a recorded session like any other.
During your 60 days that costs nothing, because the free window covers your whole practice. After it, a colleague you keep active counts as a client like any other, so pause them when you are done.
No. There are three levels, you choose one per client, and nothing moves up a level until you say so.
- Just for you. Prep briefs and session notes. Your client sees none of it, and nothing changes for them.

Most coaches start at level one. Different clients can sit at different levels at the same time, and you move any client up whenever the work calls for it.
